Booking the bar for a company event involves more than picking a cocktail. Venue rules, insurance, staffing, alcohol, and approvals all need to line up before the first drink is poured. Use this checklist to plan a corporate event bar in Houston, whether it’s an office happy hour or a 500-guest gala.
Prefer to hand it off? Our corporate event bar service covers everything below, from the quote to the last call.
1. Lock the basics: date, headcount, and timing
- Confirm the date early. Holiday parties and galas in November and December book 6 to 8 weeks out.
- Estimate the headcount, and note how many guests won’t drink.
- Set bar hours around the agenda: reception, speeches, dinner, and close.
2. Check the venue
- Ask whether outside bartending services are allowed, and whether the venue has its own alcohol rules.
- Confirm bar space, power outlets, water access, and load-in and load-out times.
- For outdoor events, plan shade or a tent for the bar.
3. Plan staffing
- Plan on about one bartender per 50 guests for a cocktail bar, or one per 75 for beer and wine.
- Add a barback once you pass about 100 guests.
- Decide whether you want flair bartending as entertainment. See how many bartenders you need for 150 guests.

4. Settle how alcohol will be handled
- Decide on beer and wine only, signature cocktails, or a full bar.
- Agree on who sources the alcohol. This depends on the event and venue, so get it confirmed in writing in the quote.
- Most corporate events use a hosted (open) bar. Selling drinks to guests generally requires a TABC permit, so check with your bar service before planning a cash bar.
- Use our guide to how much alcohol you need for a party to estimate quantities.
5. Get the paperwork procurement will ask for
- A certificate of insurance (COI) naming your company or the venue as additional insured.
- Proof that bartenders hold TABC seller-server certification. See our guide to Texas bartending licenses and TABC certification.
- A W-9 and an itemized invoice for accounting.
- Clear terms on deposits, cancellations, and the final headcount deadline.
6. Design the menu and branding
- Choose two or three signature cocktails, plus at least one zero-proof mocktail.
- Name a cocktail after your company, team, or product.
- Consider logo-printed cocktails, a branded bar front, and custom napkins. See our guide to brand activation bars in Houston.

7. Plan for guest safety
- Serve food alongside the bar, and keep water out at all times.
- Set a last call 30 to 45 minutes before the event ends.
- Arrange rideshare codes or shuttles for guests who need a ride home.
- Professional bartenders are trained to slow or stop service when a guest has had enough.
8. Confirm the budget
- Get a quote that lists staffing, ingredients, bar setup, add-ons, and fees separately.
- Remember that alcohol is usually a separate line.
- See sample budgets in our guide to corporate event bartending costs in Houston.
